Event Assistant
The Event Assistant will be responsible for assisting in the planning and production of the Victoria Symphony’s Symphony in the Summer Festival. Working with the Event Coordinator and Orchestra Manager, the Event Assistant will help implement plans for the festival. The Assistant will also be the representative of the Victoria Symphony at all of its Symphony in the Summer performances. As well as practical experience with the planning of the event, the Event Assistant will gain experience working with volunteers.
Specific Responsibilities
- Attend weekly meetings regarding the planning of Symphony in the Summer festival
- Working with the Event Coordinator, assist in the planning and execution of the Symphony in the Summer Festival
- Provide production support as required by the Orchestra Manager
- Work to ensure that all areas are equipped with site supply boxes
- Be a Victoria Symphony expert at information/sales tables at various Symphony in the Summer events
- Recruit, train, and lead a team of volunteers at the various Symphony in the Summer festival events
- Plan and coordinate the festival wrap party
- Ensure that volunteer and other stakeholder recognition gifts are prepared
- Some general office admin/organization and other related tasks as required
Qualifications
- Excellent communication skills and comfort interacting with member of the public
- Excellent interpersonal and organizational skills
- Fluency with office tools like Excel, Word, and Outlook
- Ability to successfully manage multiple tasks and problem solve
- Adaptability and flexibility in fast-paced environments
- Able to successfully manage multiple tasks
- Self-motivated, pro-active, strategic, collaborative and have good follow-through skills
- Experience in stage management, production management, or event planning an asset
The position will be full-time for approximately 12 weeks, primarily in the Victoria Symphony offices. The successful candidate must have full availability in Victoria from July 17 – August 7 2023.
Remuneration: $18.00 – $22.00/hour, commensurate with experience
Anticipated Start Date: May 23, 2023
